Paladin - I was once told by an accountant that the AGM was to be held within 6 months of year end which the last date of that would be October 31st. I did some research in the Alberta Business Corporations Act and Alberta Companies Act and they give a little more time. I have highlighted in red, the pertinent phrases. The BCA would give them until mid-December and the CA would give until December 31st. I am not sure if there is another Act or Regulations that caused that accountant to say 6 months but that is what I have found. You can apply for an extension but it has to be justifiable and I doubt this would be.

Calling meetings
132(1) The directors of a corporation (a) shall call an annual meeting of shareholders to be held not later than 18 months after (i) the date of its incorporation, or (ii) the date of its certificate of amalgamation, in the case of an amalgamated corporation, and subsequently not later than 15 months after holding the last preceding annual meeting, and (b) may at any time call a special meeting of shareholders.
Companies Act (Alberta)
Annual general meeting
149(1) Subject to this section, the first annual general meeting of every company shall be held within 16 months from the date on which the company is entitled to commence business, and thereafter a general meeting of the company shall be held once at least in every calendar year and not more than 16 months after the holding of the last preceding general meeting.
Your concerns could just as easily be addressed with a webcast after the AHA with an open Q&A. The Q&A's are never totally open on a webcast but not at an AGM either. They are pretty much the same.
