RESPONSIBILITIES:
The successful candidate will provide support to a small intellectual property group within a larger organization. This position reports to the Manager of Intellectual Property/Legal Department and will be responsible for the following duties:
• Maintain electronic docketing system, case-calendaring IP CTS (Intellectual Property/Case Tracking System)
• Improve and maintain files for patents, trademarks, and non-disclosure agreements
• Help prepare IP related correspondence
• Manage calendars, including internal and external meetings, including meeting equipment, lunches, etc.
• Assist with international and domestic travel arrangements
• Handle purchase requisitions and office supply orders for the department
• Working knowledge of mail and courier procedures
• Preparation of correspondence, experience with mail merge techniques, reports, and other administrative tasks
• Manage the filing and tickle system
QUALIFICATIONS/EDUCATION:
• 5+ years experience in an administrative support role
• Knowledge of Patents and Patent procedures
• Extremely accurate, organized and detailed-oriented
• Computer literate and Internet savvy
• Superior phone etiquette and customer service skills
• Experienced user of MS Word, Excel, Outlook, Power Point and Adobe Acrobat and patent programs
• Excellent written and verbal communication skills
• Strong organizational skills
• Efficient and resourceful in day-to-day office management
• Able to meet deadlines and prioritize an ever changing workload
• Strong prioritization skills to balance multiple projects and demands
• Understands confidentiality and how to maintain it
• A strong work ethic
• Takes initiative
